• Ceremony details: information you share to help plan your ceremony, such as relationship history, family details, preferences, photographs, and the names and details of people involved (including children, in the case of naming ceremonies).
• Payment information: billing details and records of payments made by bank transfer (BACS) and, in future, by card via Stripe. We do not store full card details ourselves.
• Website usage data: collected automatically via Squarespace's built-in analytics and Google Analytics, such as pages visited and general location/device information. See our Cookie Policy for detail.
4. Special Category Data
Ceremony planning, particularly for funerals and some weddings or naming ceremonies, can involve sensitive (“special category”) information such as health details, bereavement circumstances, religious or philosophical beliefs, or family relationships. We only collect this information where you choose to share it with us for the purpose of preparing your ceremony, and we treat it as explicitly provided with your consent for that purpose. It is not used for any other purpose and is not shared beyond what is necessary to deliver your ceremony.
5. How We Use Your Information
We use personal information for the following purposes and legal bases under UK GDPR:
• Contract: to discuss, prepare, and deliver the ceremony you have booked, and to manage payment.
• Consent: to use ceremony content (e.g. photos, brief excerpts) for portfolio or marketing purposes, where you have separately agreed to this; to send any optional newsletter or marketing updates.
• Legitimate interests: to respond to enquiries, improve our services, and keep records of bookings and correspondence.
• Legal obligation: to keep financial records as required by HMRC.
6. How We Share Your Information
We do not sell your personal information. We share information only where necessary, with:
• Squarespace – our website hosting provider, which also provides built-in site analytics.
• Google Analytics – to understand website usage.
• Calendly – for booking consultations and managing scheduling.
• Stripe (once introduced) – to process card payments.
• Our bank – to process BACS bank transfer payments.
• Venues, registrars, or other professionals directly involved in your ceremony, only where relevant and, where appropriate, with your knowledge.
• Professional or regulatory bodies (such as AMC – the Academy of Modern Celebrancy), where required for accreditation, training, or complaints-handling purposes.
These providers only use your information to deliver the relevant service to us and are required to handle it securely.
7. International Transfers
Some of the third-party services we use (such as Google Analytics, Squarespace, Calendly, and Stripe) may store or process information outside the UK. Where this happens, these providers are required to have appropriate safeguards in place, such as UK-recognised Standard Contractual Clauses or equivalent protections.
8. How Long We Keep Your Information
• Booking and ceremony-related information: kept for up to 2 years after your ceremony date, unless you ask us to delete it sooner.
• Financial records: kept for at least 6 years, in line with HMRC requirements.
• Enquiries that don't lead to a booking: kept for a reasonable period (e.g. 12 months) and then deleted.
9. Your Rights
Under UK GDPR, you have the right to:
• Access the personal information we hold about you
• Ask us to correct inaccurate information
• Ask us to delete your information, where applicable
• Object to or restrict certain processing
• Withdraw consent at any time, where we rely on consent (e.g. portfolio use of your ceremony content)
• Ask for your information in a portable format, where applicable
